How to Restore Leads in Salesforce?

How to Restore Leads in Salesforce

Have you ever accidentally deleted an important lead in Salesforce? It happens, and that’s fine. One wrong click and your valuable information vanishes. However, don’t panic! The good thing about Salesforce is that it provides you with multiple ways to recover deleted leads and get back to business.

In this blog, we will help you understand how to restore deleted leads in Salesforce step-by-step. So without further ado, let’s get started.

What Happens When You Delete a Lead in Salesforce?

Whenever you delete the lead in Salesforce, it does not delete immediately. It disappears permanently from it after fifteen days. If you miss that window, you will need to perform manual CSV reconstruction, utilize third-party backup platforms, or explain to leadership why the pipeline data vanished.

When you delete a lead in Salesforce, the deleted record will be moved to the Recycle Bin and remain there for 15 days. During that time, you can easily recover them. After that, Salesforce permanently deletes them, and they can only be recovered using data backup or recovery tools.

It means the quicker you act, the better your chances of regaining your lost leads.

What are the Different Methods to Restore Deleted Leads in Salesforce?

Here are a few simple methods that you can use to bring deleted leads back.

1. Restore Deleted Leads Using the Recycle Bin

The easiest and fastest way to recover the deleted lead is through the Recycle Bin. Here are the steps that you need to follow for it.

  • Go to the App Launcher.
  • Type Recycle Bin in the search bar and choose it from the results.
  • If you’re an Admin, you will see two distinct tabs. My Recycle Bin and Org Recycle Bin. My Recycle Bin contains only the records that you have personally deleted. Org Recycle Bin displays items that is deleted by anyone in your organization.
  • Find the lead that you want to restore. You can filter records by object type like leads, contacts, or opportunities, to find the right leads if your Recycle Bin contains many deleted leads. Check the checkbox present near each record. If you need to restore multiple records, choose multiple checkboxes at once.

Click on the Restore button at the top of the page. It will restore all your leads.

2. Restore Leads Through Data Loader

Do you want to delete many leads at once? Manually restore them one by one, as it could take hours. Here is where Salesforce Data Loader can be helpful. All you need to do is follow the steps below.

  • Open Data Loader and click on “Export All.”
  • Select “Leads” as the object.
  • Now, add filters to export only deleted records. It means build a SQL query that targets deleted leads.

For example,

SELECT ID, Name, Company Status FROM Lead WHERE “IsDeleted = True”

  • Once exported identify the record IDs of the leads you want to restore.
  • Create a new CSV file with those record IDs
  • Now, open Data Loader again and choose “Undelete.”
  • Upload the CSV file and run the process.
  • After a few moments, your deleted leads will be back in Salesforce.

Always double-check your CSV before running the Undelete process to avoid restoring unwanted records.

3. Weekly Export Reconstruction

If the leads have already been removed from the Recycle Bin, you still have one last resort, which is weekly export reconstruction provided by Salesforce. However, it requires manual processing and introduces gaps as per the export schedule. Here are a few steps that you need to follow to locate, clean, and prepare exported lead data before loading it back into Salesforce.

  • Locate and extract the export.
  • Identify missing records by using the spreadsheet’s VLOOKUP function or a different utility that helps identify gaps quickly.
  • Prepare for the reconstruction.
  • Now, load the cleaned file through Data Loader using the Insert operation.

4. Restore Deleted Leads Through a Backup Solution

If you use the Salesforce backup tools like OwnBackupFlosum, or any other secure backup system, you can easily restore deleted leads from the stored data snapshots. Here are the steps for it.

  • Log in to your backup system.
  • Choose the backup that contains your deleted leads.
  • Use the restore option that brings them back to Salesforce.

Schedule automatic backup daily or weekly, depending on how often your data changes. It ensures you always have the recent version to recover from.

5. How to Prevent Losing Leads in the Future

Restoring deleted leads is helpful, but prevention is always better. Here are some smart ways that keep your Salesforce data safe.

1. Restrict Delete Permissions

Not everyone in your team needs permission to delete records. You can limit this ability to admins or managers to reduce accidental deletions.

2. Enable Field-Level Security

Sometimes you do not need to delete data, just need to hide it. You can use the field-level security to restrict access to sensitive lead information without deleting it.

3. Regularly Back Up Your Data

Schedule automatic backups using Salesforce’s native backup tools or third-party apps. Having the backup ensures you can always restore lost data quickly.

4. Use Validation Rules

Add validation rules to prevent unwanted deletions or updates. For example, block lead deletion if it is associated with an open opportunity.

5. Educate Your Team

Human error is the most common cause of data loss. Therefore, train your team on how to manage leads safely and use Salesforce responsibly.

Some Best Practices to Handle Lead Deletions Safely

Here are some best practices that you need to implement to handle lead deletions safely.

  • Double-check before deleting. Take the moment to confirm you’re removing the right record.
  • Export lead data monthly. If you keep an offline copy, it helps in emergencies.
  • Use the automation carefully. Some automated workflows might delete records. Therefore, always test them in the sandbox first.
  • Audit your data regularly. You can even use Salesforce’s Audit Trail to track who deleted what and when.

If you follow the above habits, you will minimize the risk of losing valuable customer data.
